Greener Camping Club Membership

In order to comply with countryside planning policy, we operate as a Greener Camping Club members-only campsite. The Club was established by people with a passion for sustainable, eco-friendly camping holidays. When you book your holiday with us, one nominated guest per pitch booked will be enrolled as a member of the Club. Membership costs just £12 for the calendar year and gives you access to some of the greenest campsites in the UK. It also includes participation in the Club’s ‘Trees for Life’ scheme, whereby a tree is planted for every member we enrol.   Membership fees are non-refundable if a booking is cancelled.  If already a member, you must supply the email address associated with the membership and proof of membership may be requested on arrival.

 

Payment

We request a full payment when booking a camping pitch or glamping unit, including full payment (£12) for any new Greener Camping Club memberships.

Pitches can be held on request provisionally for up to seven days, after which, if we have not received your payment, the dates will be released. If you are unable to pay in full at the time of booking, please contact us to discuss payment options.

VAT
Wytch Wood Camping is VAT registered, 20% VAT will be included in the price of all accommodation and extras purchased online and on site.  A breakout of VAT from your total booking cost will be shown on your booking confirmation email.  VAT number: GB 456884049

 

Cancellation by you

If you cancel your holiday six weeks or more before your arrival date we will refund your deposit less a 20% admin fee and the £12 Greener Camping Club membership fee (which is not refundable).

If you cancel your holiday less than six weeks before your arrival date and we can re-let your holiday for the dates you have booked, we will refund your payment less a 20% admin fee. The Greener Camping Club membership fee is not refundable. If we are unable to re-let your dates, no refund will be made. Bookings are not transferable without our prior agreement with us in writing. If you are concerned about the prospect of cancellation, please take out holiday insurance.

 

Cancellation by us

Wytch Wood Camping reserves the right to cancel a camping or glamping holiday at short notice if we are unable to provide safe accommodation or camping environment, due to extreme weather conditions, ill health, fire, flooding or any other extenuating circumstances beyond our control.

Under such circumstances, your full payment will be returned to you. Wytch Wood Camping cannot accept liability or responsibility for any loss, including consequential loss, caused by cancellation. The Greener Camping Club membership fee is not refundable.

Children & Adults Safety

There are many opportunities for play and adventure at Wytch Wood Camping. Our aim is for children to have a truly enriching experience of space and freedom. But there are contingent risks to be aware of. We are a working farm and have horses and sheep, electrified fencing and there are often tractors around which can all pose hazards.

We permit campfires, there is a shallow stream running through the campsite, ditches and boggy areas, and many trees, standing and fallen in the woodland – we encourage respectful exploration of all of these – risks are small and should be self-evident, and we have taken efforts to mark potential hazards – but if you are not clear, please ask! Wytch Wood Camping accepts no responsibility for injury incurred on-site. Parents are responsible for the supervision of their children on-site at all times.

 

Arrival & Departure Times

Arrival time is from 2pm for camping and 3pm for glamping pitches and we request you try to arrive by 7pm. Please call us if you think you may arrive later so that we can make suitable arrangements.

There is no lighting in the campsite and cars will not be permitted onto the site after dark for unloading. Campervans arriving after dark may not be permitted to drive to their booked pitch and may have to stay in an easily accessed space instead. If you are late arriving, please be respectful of other campers with both light and noise – particularly slamming doors.

On departure day, please vacate your camping pitch by 11am. Early check-in may be available on request. On arrival, please park in the designated car park and wait to be greeted, or call 07796 622867, please do not drive up to the farm or drive into the campsite.

 

Cars & Campervans

The speed limit while on Wytch Wood Camping is 5 mph, this includes the farm track which leads to the campsite, which is a single track with passing places. We share this lovely place with several equestrian businesses, and we ask guests to please take extra care when meeting or passing horses whilst driving, this is more likely between the hours of 7.30am and 1pm.

If conditions allow, you may take your car down to your pitch on arrival day to set up – and on departure day to pack up. For the rest of your stay, cars must be parked in the car park – you are not permitted to park beside your pitch. Driving onto the campsite may not be possible if we have had periods of prolonged rain and on arrival or departure days the ground is considered too soft to drive on. Wheelbarrows are also available to help you transport your gear. Help will be provided if required. If you are booked to stay on one of the secluded pitches, vehicle access will not be possible.

Campervans are only permitted on certain pitches and notice must be given if you are staying in a campervan rather than a tent. We can only accept up to 5 small campervans, and cannot accept caravans. If you are unsure if we would be able to accept your campervan, please check before booking.

 

Tents

Please check the pitch description before booking as suitability for different tent types is highlighted. Most pitches are suitable for one large tent or two smaller tents. You will need to book more than one pitch if you have more than 2 tents for your booking, even if the number of guests does not exceed the maximum number permitted on an individual pitch. We advise you to enquire before booking if you are not sure how many pitches you need for your booking.

 

Consideration for Others

This is a peaceful, quiet campsite for the enjoyment of nature. We do not allow radios, stereos or other sound systems and only quiet talking is permitted after 10.00pm. Acoustic instruments can be played before then. Noisy visitors who disturb other guests will be asked politely to leave, without a refund. If you are out for the night and arrive back late, please leave your car in the car park and be respectful of other guests.

 

Accidental Damages

Should any significant damage or breakage occur, other than acceptable wear and tear, a charge for replacement may be made. We reserve the right to charge for excessive cleaning where a glamping tent, compost loo, shower or other area has been left in an unacceptable condition, through waste, litter, interference in the structure, movement of furniture and contents etc. Guests will be held responsible for any fire, smoke, general damage, or alteration to the structure caused by negligence.

 

Recycling & Rubbish

All rubbish must be recycled. That means separating glass, tins, plastic, paper, cardboard, food waste etc. and placing them in the designated bins.

What is left, ie. plastic film, composite materials, soiled paper/card or other items that are not recyclable, can be placed in the landfill bin.

 

Campfires

Please only use the designated campfire places and do not enlarge or alter the position of the designated campfire places. Do not leave your campfire unattended and think carefully about whether or not to light a fire if it is windy.

Wytch Wood Camping accepts no liability for injury or damage caused by your campfire. By lighting it you accept full responsibility for it. Campfires are not permitted close to trees or under covered areas on the campsite. Guests are welcome to gather kindling from the woodland but are not permitted to remove large logs or branches from the woodland or from the decorative log stacks which are placed around the site. No logs which will not fit fully into your firepit may be burned. Guests may bring their own seasoned firewood.

 

Chemical Toilet Disposal

We do not provide facilities for the disposal of chemical toilets at this time. Compost toilets are provided on-site.

 

Day Visitors

Day visitors are only permitted by prior agreement. Fees may apply.

 

Property Loss

Wytch Wood Camping cannot be held responsible for any lost or stolen property.

 

Smokers

All the undercover facilities are strictly NO SMOKING – including barn area, toilets, glamping tents, wash-ups and outdoor kitchens. If you smoke, do it outside and dispose of your cigarette ends in the campfire or bin.

 

Dog Policy

We are unable to accept dogs at Wytch Wood Camping, other than support dogs. The location on a working sheep farm and the proximity to wildlife in the woodland make it unsuitable for most dogs. If you are bringing a support dog, please advise us at the time of booking. We may consider small dogs with campervans on a case-by-case basis, outside of school holidays but you must check before booking to avoid disappointment.

 

The Weather

Very strong winds and torrential rain can occur at any time of year. You must ensure that your tent is robust and pitched correctly. In some cases, we may ask you to move to another pitch. Please note, we do not provide a refund because the weather has not worked out, or is not to your liking. Extreme weather is covered in ‘Cancellations by Us’.

 

We reserve the right to change the terms and conditions, prices or website without notice to read over these.
